Introduction

How Beaumier used Altek to reduce active handling time per reservation offer by about 80%. The team had no new system to learn, and all ten hotels were live within 13 weeks.

Beaumier is an independent group of ten luxury hotels in the French Alps, Provence, the Riviera, Ibiza and the Swiss Alps. Each hotel is shaped around its setting, with its own design, local cuisine and highly personalized service.

Across the group, the central reservations team handles complex guest inquiries using Outlook and Opera Cloud. To reduce the manual work behind these offers while maintaining its high standards of service, Beaumier introduced Altek to help its team prepare personalized reservation offers using live hotel data.

The challenge

Every offer was built by hand

For Beaumier’s reservation teams, a guest email is often the start of a high-value booking decision, and rarely a simple one. Of the offers the teams send:

  • 4 in 10 went to travel advisors and agencies, often with agent rates and commission to check.
  • 4 in 10 covered more than one room.
  • More than a third included children, so every room category had to be checked against the party.

Answering one of these well takes far more than writing. A reservation agent reads the request, opens Opera Cloud, checks live availability and rates for each room type, looks up the agent or corporate profile, compares the options and turns it all into a clear, personal reply in English or French.

Every reply also carries a five-star standard. Luxury guests expect personal attention, fast answers and the feeling that their stay is made for them. A good offer draws on what the hotel already knows about the guest, such as their preferences and their history with the group.

At one hotel, that is repetitive work. Across ten hotels, it becomes a group-wide operational load and a commercial risk while guests are still deciding where to book.

“Our guests expect a fast answer that feels personal, and every inquiry is a guest still deciding where to stay. Across ten hotels, our team was spending that time in Opera instead of on the guest. We reached out to Altek because we needed the work around every email done.”

The solution

Altek does the work, the team stays in control

To reduce the manual work behind each reservation offer, Beaumier introduced Altek directly into its existing Outlook workflow, connected to live data from Opera Cloud.

When a guest inquiry arrives, Altek understands the request, checks availability and rates in Opera Cloud, retrieves relevant guest or agency profiles, and prepares a personalized reply in English or French.

What previously required several manual steps across Outlook and Opera Cloud is now largely handled by Altek:

How the work behind an offer is split: 1. Read and interpret the request (Altek). 2. Check live availability and rates for each room type in Opera Cloud (Altek). 3. Look up the guest’s preferences and history, or the agent profile (Altek). 4. Compare the options (Altek). 5. Write the reply in English or French (Altek). 6. Review, adjust and send (reservation agent).

The reservation agent remains in control of every offer. Rather than starting from scratch, the team can review a prepared response, make adjustments where needed and send it directly from Outlook.

For Beaumier, this meant introducing AI into the reservations workflow without asking staff to change how they work.

The rollout: ten hotels live in 13 weeks

Because the team kept working in the same systems, each hotel could go live quickly. Beaumier started with a pilot at Le Val Thorens on 2 July 2026, with staff reviewing every draft before it went out. Les Roches Rouges and Capelongue followed three weeks later, and by early October Altek was live across all ten hotels in France, Spain and Switzerland. Every hotel had drafts waiting on its first day.

“There was nothing new to learn. When we open the guest’s email, the draft is already there in Outlook with the rates filled in. We check it, adjust and send.”

The results

80% less time per offer, 47 hours back every month

Active handling time per offer fell from 5–10 minutes to 1–2 minutes, roughly 80% less, measured from opening the guest’s email to a reply ready to send. The research that used to happen across Opera Cloud screens (availability per room type, rates, agent profiles) is done before the agent opens the draft.

Bar chart of active handling time per offer: 5–10 minutes before, 1–2 minutes with Altek, about 80% less.

Beaumier’s central reservations team sends about 470 priced offers a month across the group. At around 6 minutes saved per offer, that is roughly 47 hours of reservation capacity back every month, or approximately 560 hours annually.

And these savings only account for offers. Altek also drafts replies to guest questions, requests about existing bookings and much more. None of that work is counted in the 47 hours.

What changed

For a five-star group, the hours are only part of the value. Guests get a fast, personal reply while they are still deciding where to stay, and the team spends time on the parts of each offer that need a person.

“For a complex family offer, the time used to disappear into Opera lookups and writing. Now most of that work is done before I open the draft.”
