What reservations teams ask before moving their inbox to Altek.

What is Altek Inbox?
Altek Inbox is the working environment where hotel teams convert guest inquiries. Your hotel systems (PMS, restaurant, spa) are native to it, and AI prepares both the reply and the operation behind each inquiry for staff to approve: reservations, modifications, payment links. Unlike a plugin or a chatbot, it replaces the email client itself.
How is this different from an AI email plugin or add-on?
Plugins draft text inside Outlook. Altek Inbox is the full working environment: any message in or out, with live PMS data in every thread and operations executed, not just described, subject to human approval.
Do we have to stop using Outlook immediately?
No. Altek Inbox connects to the same mailbox and runs alongside Outlook for as long as the transition takes. Most hotels start with the reservations inbox and expand from there. Teams that would rather stay in Outlook entirely can use Altek for Outlook instead.
Which hotel systems does it work with?
Full operations in Mews, Opera Cloud, and Visbook/BookVisit, plus restaurant and spa systems. Properties on other PMSs get triage and drafting from day one.
Can Altek send emails automatically?
Not by default. Altek prepares the reply and the work behind it and waits for someone to approve, which takes about 30 seconds. Once you have watched a routine case being handled you can let that case go out on its own. Autonomy is opt-in, set per property and per action type, and every action carries an audit trail.
Which actions can be automated, and which cannot?
Three tiers. Information replies, availability and rate answers, offers built from live availability, and follow-up on a quiet thread can be released once you are comfortable. New reservations, date changes, restaurant and spa bookings, cancellations and payment links are configurable: off until you turn them on, per property and per action type. What never goes out on its own at any setting is anything Altek is not sure about, anything outside your policy, and any complaint or negotiation.
What happens if Altek is not sure?
It does not guess. The reply is prepared and handed to a person rather than sent, and the same applies where an answer would require a commercial decision: pricing you have not set yet, which room to offer at what package price, or whether to confirm before payment is secured. A system confident enough to answer those on its own would be a worse product.
Can different hotels in our group have different settings?
Yes. Autonomy, approval rules and permissions are set per property, per action type and per risk level, so one hotel can release availability answers while another approves everything, under one contract and one group standard.
Does Altek follow up when a guest goes quiet?
Yes, and it is the gap we find most often. In a 90-day assessment across six reservation mailboxes, 91% of quoted enquiries that went quiet were never followed up at all. Altek tracks a quoted thread that has not been answered, prepares a follow-up on the cadence you set, sends it in the same thread, and stops the moment the guest replies. It becomes a rule of the property or the group rather than something a person has to remember on a busy afternoon.
Can our central reservations team work across every property?
Yes. A central team works the whole estate from one place, while each hotel keeps its own inbox and its own voice. Inquiries can be assigned to whoever should own them, anything past your service level is flagged, and follow-ups are chased rather than forgotten. The same setup serves a single reservations desk at one hotel.
Can it handle group and event inquiries?
Not yet. Group and event handling is a module in development, planned for release later in 2026. Today Altek triages those inquiries by value alongside everything else and assigns them to whoever owns them, so they reach your groups desk quickly instead of sitting in a shared inbox. The quoting and the room block are still your team's work.

Data is hosted in the EU under a GDPR-first model, with a DPA available, and Altek serves hospitality only. ISO 27001 and SOC 2 certification are in progress.
